Job Description
CowanPerry PC, a boutique law firm, has an immediate opening in our Blacksburg office for a Receptionist/Administrative Support Person - part-time (20 hours/wk; with occasional extra hours as needed for projects/events).  This person will be responsible for providing support for the daily operations of the Blacksburg office.
 
Ideal candidate will be able to / or demonstrate:
 
  • Professionalism, a positive attitude, excellent interpersonal and client communication skills, and the ability to maintain client confidentiality;
  • Computer/software experience: Preferred use of a Mac computer running MS Office 365; MS Word, MS Excel, MS PowerPoint; practice management software (such as Clio), contact management software (such as Constant Contact), and Adobe;
  • Take direction and work independently with little or no supervision;
  • Have highly organized and detail-oriented work habits;
  • Lift approximately 25-30 lbs (e.g.  boxes or bottled water);
  • Previous experience in the legal industry is desired, but not a requirement.
 
Reception/Administrative Support Responsibilities/duties will include
 
  1. Greet/host clients and visitors, answer and direct phone calls, and serve as the first point of contact representing CowanPerry;
  2. Maintain/keep clean all common areas of office (e.g. reception area, kitchen, conference rooms, supply room etc.); plant maintenance; and beverage/candy maintenance;
  3. Proactively coordinate with Firm Administrator office/kitchen supply needs and maintenance;
  4. Mail and Package services. Be responsible for picking up mail from Main PO and lobby boxes; process, notify, and/or distribute incoming mail and package(s); and prepare outgoing mail and package(s) for shipping as directed;
  5. Copy services. Maintain copier with paper/toner; perform copying, scanning and processing documents as necessary;
  6. Data entry assistance. Assist with practice and contact management databases including processing new client intake form and updating contacts as necessary; 
  7. Legal Document management. Assist Legal Assistant and Paralegals in maintaining electronic and physical records;
  8. Assist Legal Assistant with deposits, expense reports, and travel arrangement, as needed;  
  9. Assist team members with letters, presentations, and other from templates as necessary;
  10.   Perform other receptionist/administrative tasks/assistance when assigned or as necessary.
